Festival Purpose: For Our Lady of Grace to be seen as a welcoming & integral part of the community.

Please mail to: OLG FunFest, The Church of Our Lady of Grace and St. Joseph, 400 Willow Avenue, Hoboken, NJ, 07030, and include pictures of your merchandise or displays, and your application fee of $100.00 (Food Vendors), $50.00 (Non-Food Vendors), $25.00 (Non-Profits).  Applications will be considered on a first-come first-served basis, and only if photos of your work and your application fee accompany the application.

Interested vendors can also e-mail the information requested on the Exhibitor Application to Steven Halter at halters@mac.com, and then mail the application fee -- along with a signed paper copy of the application and any additional documents or photos  -- to the address listed above.

Exhibit Space & Set-up
Exhibit Size: Each Table or Booth must be no larger than 10 feet wide by 10 feet deep.  You may reserve a maximum of two (2) spaces.  Non-Profits are limited to one (1) space.

Exhibitors are expected to have attractive displays and must provide their own table or booth and chairs.  The displays must be neat and draped with an attractive cloth, with no boxes visible.  If your display is sloppy we will ask you to leave, and your application fee will not be returned.

No water or electricity will be provided.  If you will be bringing a generator it must be quiet.  If the generator is loud we will ask you to turn it off.  The festival will be held rain or shine, so please bring a canopy to protect your merchandise in the event of scattered showers or rain.

We cannot guarantee where your display will be located.  All spaces will be pre-assigned, and the space numbers provided beginning at 8:00 am on the morning of the event.  All exhibitors must arrive no later than 9:30 am and must keep their displays active through 7:00 p.m.

All vehicles must be removed from the event site no later than 11:00 am.  A public parking garage is available on 4th and Clinton streets. 

Exhibitors may not assign their contract for exhibit space or permit any other person to use part of such space. Exhibitors may display and sell ONLY what he/she has listed on this application and that was agreed upon by the sponsor.

Our Lady of Grace Church reserves the right to make such additional conditions, rules and regulations as is deemed necessary to enhance the success of the festival, and to decline or prohibit any exhibit which, in its judgment is not in keeping with the character of the event, this reservation being all-inclusive as to all persons, things, printed matter, products and conduct.

Liability
Exhibitors wishing to insure goods must do so at their own expense.   Our Lady of Grace assumes no responsibility for, or guarantee of the safety of the property of exhibitors, its agents and their employees from theft, danger from fire, accident, or any other cause whatsoever.  The exhibitor expressly agrees to save and hold harmless Our Lady of Grace, its management, agents, employees, volunteers, and sponsors from any and all liability resulting from injuries or damage to exhibitors, their agents, employees and specifically to attendees while within the exhibitor’s space or caused by the exhibitor’s display.

Safety Provisions:  Exhibitor must provide the necessary shielding or safety items to protect attendees, other exhibitors and all others from equipment that is operable or from any other material, processes or operations that might cause bodily harm.  Exhibitor must bring material to firmly secure their display against the elements, such as wind.  Such material includes sandbags, wire, etc.  You may also be requested by Our Lady of Grace to provide an insurance binder, prior to the festival. 

Exhibitors shall be bound by all pertinent laws, code and regulations of municipal and other authorities having jurisdiction over said event, and shall fulfill all municipal, state and federal requirements in connection with all sales.  (You must have a Tax ID Number)

Notification and Cancellations
Our Lady of Grace Church, at its discretion, shall have the right to postpone or cancel the event and shall be liable in no way to the Exhibitor for losses resulting from such delay or cancellation.  Our Lady of Grace Church will not be liable for the fulfillment of this contract or the delivery of event space if non-delivery is due to any of the following causes:  By reason of the event space being damaged or destroyed by fire, act of God, public enemy, war or insurrections, strikes, the authority of the law, postponement or cancellation of the event, or for any cause beyond its control.

Notification or Rejection letters will be sent via e-mail approximately 3-5 weeks after your application is received, in order to allow the committee sufficient time for evaluation.  Cancellations must be received in writing three (3) weeks prior to the event.  No refunds or credits will be issued after that date.  Please be advised that no rain date will be scheduled and that no refunds will be issued in the event of rain. 

Clean-up
Breakdown of exhibits will not be permitted before 7:00 p.m.  When the festival is over, each exhibitor will clean their areas thoroughly and prepare for a prompt departure.  Please pack your materials prior to retrieving your car to avoid excess cars in the area, which will lead to traffic problems.  

Food Vendors
Food vendors must provide proof of insurance and acquire a binder/insurance certificate that names Our Lady of Grace and the City of Hoboken as insured.  Food vendors will be expected to contact the Hoboken Board of Health and the Hoboken Fire Department to obtain food and fire permits. These two departments will conduct their own inspections the morning of the festival.  If you do not obtain the proper permits prior to the start of the festival, you will be asked to leave.  Please apply 30 days prior to the festival, by contacting:  Health Dept. 201-420-2364 and Fire Dept. 201-420-2768

All leftover food stuffs, grease and charcoal MUST BE REMOVED FROM THE PREMISES BY YOU. Do not deposit these items in local trash cans, sewers or along the curb.  Those who fail to follow this rule will be subject to summons by the Hoboken Police Department for violations of Hoboken code, including but not limited to #110-1 et seq.
